Overview
Rand Data Systems introduced Google Workspace for Nonprofits to Access to Innovative Care Foundation (AICF), to support seamless collaboration, resolve document sharing issues and future proof their operations as the organisations scaled up.
The problem
The Access to Innovative Care Foundation (AICF) began its journey in 201 under the name Innovative Cancer Care Foundation, with a bold mission: Improving access to life saving treatments for patients across South Africa. By 2016, the organisation had broadened its focus and rebranded to AICF, expanding its services to support patients living with rare, often highly specialised conditions that fall outside the standard treatment net.
At its core, AICF serves as a bridge, connecting individuals in need with cutting-edge therapies, specialised diagnostics and expert care, often working hand in hand with both public and private healthcare institutions. Under the leadership of Jeanette Schwegman, the foundation has become a voice for those navigating complex medical challenges, making advocacy and access their driving force.
As AICF’s reach and responsibilities grew, so did the complexity of its internal operations. More team members meant more devices, more documents and a growing need for shared access and streamlined workflows. But the systems in place weren’t keeping up.
Staff struggle to access the same files from different devices. Shared folders were inconsistent and storage limitations only made things worse, some files were too large to send or store easily. There was no centralised system to manage everything.
Jeanette had worked with Rand Data Systems through Clico Boutique Hotel, and knew exactly who to call. AICF didn’t just need a fix, they needed a reliable system that could grow with them.
The solution
The foundation needed a solution that would allow their team to collaborate with in real time from anywhere, without having to worry about file sizes, missing attachments or mismatched document versions. They were after something cloud-based and reliable, with enough storage to support large medical documentation and a consistent platform for email, file sharing and administration that would scale as their impact expanded.
Rand Data Systems assessed AICF’s environment and recommended Google Workspace for Nonprofits. With the right tools already available through the programme, it was the logical next step. We handled the setup from start to finish; configuring the domain, creating user accounts and migrating their existing data into a new, shared ecosystem.
Google Workspace for Nonprofits allowed us to set up Shared Drives to house their documents, offering structure and security with full control over permissions and version history. Each team member was given a professional email address under the AICF domain and cloud based calendars, Docs and Sheets were all integrated into their daily workflow.
The rollout was smooth, with hands-on support and practical guidance to ensure the team could start using Google Workspace for Nonprofits immediately. It wasn’t just a migration, it was a full alignment of their digital tools with the way they actually worked.
The outcome
AICF now operates with a fully connected team, able to collaborate and manage files from anywhere in the country. There’s no more scrambling for the latest version of a document or running out of space when it matters most. Every file has a place, every user has access and nothing gets lost in the shuffle.
The transition also meant onboarding new staff is easier, and day-to-day administration has become far more efficient. Their digital workspace now reflects the professionalism and structure behind their growing mission.
